Question Doing things whilst users are logged in

    Hi
These are probably dipstick questions but I have not really used web apps before......

Are there any rules for changing Sugar files when users are logged in looking or adding stuff-

    for example
I want to load a new module - should everyone be out of Sugar or will sugar handle things.
If I want to do a repair should people close down their browse or can they just suspend their activity.

Obviously backup taken before changes made - goes with out saying but do users have to be out of their browses

If there are some doc anywhere, pointers would be much appreciated.

    Hi JeanetteRoss,

You can do these tasks while people are still logged in. They may see it slow down for a few seconds but it shouldn't be a problem. For documentation there's the wiki at http://www.sugarcrm.com/wiki/.

    Have fun with it!

One more thing, there may be cases where a user would have to log out then back in after you've made a change. Like if you change their security settings.

    Hi there,

Forgetting the technology for a moment, there may be a business reason to wait until "after hours" to apply your changes.

I previously worked for a company that was "WebTrust Certified" and "SAS-70 Certified"... as part of the certification, we had to have strict procedures in place for updating not only the software and systems that our customers used, but also our own internal (CRM, Financial, etc) systems. We were restricted to making changes only during a specified change window, with x hours notice given to all users beforehand. If someone made a change to the system outside the prescribed procedures, we were at risk of losing our certification.

I'm not sure if this applies in your case, but at the very least, you should warn your users that you're making changes to the system, and should tell them what those changes are. As a user, it's confusing enough trying to get your work done without the additional (blink blink, rub your eyes, did that screen change?) mystery of a suddenly-different screen.

Absolutely Susie, great point! I think we've all been bit by not following proper procedures at one point in our careers
