    Default Multiple email account for one user

    How do I get one user to be able to check mulitple email accounts? I currently have 4 accounts that I need one user to be able to receive and send email from? Is this possible?

    There isn't an elegant way of handling it, but here are some ideas:

    1. Create multiple logins for that user, each representing one of the 4 e-mail accounts. Cumbersome, but it'll work.

    2. Configure the e-mail accounts as group mailboxes, however, that opens it up to other users and doesn't address the send part.

    3. Use Outlook and sync messages back in via the Outlook link.

    Sending is not that big of a deal. 3 of the mailboxes are just general boxes (i.e. support, sales, etc). How do I set them up so I can check them from a single login account? I have looked at the documentation, but it just confused me. I have them setup as group users, but I don't know how to get access to them.

    To setup a group mailbox, following the steps below:

    1. Login as admin
    2. Access the Admin control panel
    3. Click "Inbound E-mail"
    4. Click "Monitor New Mailbox" on the left hand side
    5. Define the e-mail account information

    Note: The "Name" value is very important as it dictates the group name that will be created.

    6. In the bottom section, verify that "Create Mailbox Group on Save" is selected
    7. Apply any other settings you want and then click Save.

    Repeating these steps for the other accounts should allow you to monitor the other mailboxes too.

    You should now be able to go to the E-mails module, click Group Mailbox and check e-mail for that account.

    Like I said before though, this opens up that account to multiple users. Any user could go to e-mails module and click Group Inbox and see the messages. You could restrict this via Roles, and force them to click "Take from Group" from their individual inbox to get the next message in the group inbox.

    I am not sure if you can remove access to the Take from Group functionality for specific users. Perhaps a combination of specific Roles settings will do it for you, but you'll have to play with that (assuming you want that restriction).

    One other way to check mulitple emails, is to set up an email forwarder to send other emails to the one that's already monitored on sugar, through you host's control panel (I used my cPanel). Not actually a configuration of SugarCRM, but very clean.
