    Default Using roles

    Hi
    Just a question. I want the users only to view their assigned accouts, tasks, etc...
    My idea is to create a role for each user in which I define the permission to view, edit, ... only the datas they own. Will it make what I want, or not ? will the administrator (me ... )be able to see all datas of all users ?

    Hope what I try to explain is clear...

    For info, the private teams facility - and the ability to assign these as a user's default team - in the PRO version performs this function perfectly.

    Thanks, I know that...
    However, our company is new in using CRM and we have the OS version installed. Perhaps in the future we will upgradde to a more professional version but it's not planned yet.

    So, can anyone tell me if roles, configured as described in my 1st post, could suit my needs of data confidentiality between users ?

    For info, we will have a maximum of 5 users, excepted the admin, who will use the application.

    Hi (again)

    It seems using roles to protect data confidentiality between users works fine.
    After short tests users can only see their stuff when they log in.

    Hope this may help somebody.

    Seems to work quite well. Now the only thing to figure out is how to have each user's email box accessible only to owner (that user) while having the shared inbound email box accessible to everyone.

    wow... as I'm knew to sugar CRM and being in a test phase right now, I don't know yet how I'm going to manage the mailboxes with sugar CRM.
    My first approach was to use sugar CRM as a private webmail for each user, directly linked to the contacts, accounts and opportunities recorded within sugar. But I don't know if it's possible with the OS version, and I don't know how to do that.

    Then I thought about simply setting up the outlook plug in on the user's PC and synchronise calendar, mails and contacts with that.

    But I really don't know what would be the best...

    If anyone has ideas...

    That's not possible (sugar as webmail) at the mo as it can't handle individual mailboxes - only group ones. However, the next version should do that if you can wait (sounds like a month or three away). However, if you look at the preview forum, there's a 'beta' of the functionality for testing that youi can download and install.

    The outlook plugin is OK for importing recieved and sent emails and assigning them against contacts, but you might find users will tend to 'forget' to do it as it's a retrospective thing.

    Then again, a lot of users would prefer to use outlook rather than webmail.... horses for courses.

    Thanks for the reply.

    I'm spending so much time to set up this version that I'll hesitate to upgrade as soon as another version is available...
    But it's my first set up so...perhaps I'll be faster next time...

    I agree that webmail is not the most conformtable solution. I think I'll choose the plug in solution if it suits our needs:
    - sync calendar, contacts, etc and attach all the stuff to accounts, opportunities, etc...
    - attach emails (sent and received) to a contact, an account, an opportunity, etc... and ability to see the message in sugar.

    To be short...all the stuff in outlook should be "easily" imported in sugar and attached to the relatives datas

    I guess it's the purpose of the plugin, right ?

    I'm using the email preview and it works quite well. If I create a role that limits email for users to the owner, then they can't view the group mailbox however. The only other issue I have run into with it is that if an email comes in that has more than one user in the recipients, it only goes to the first user's mailbox that is polled by Sugar.
