Email Template Fields

I'm using Sugar CRM 5 and am trying to add variables to the email template for my office phone. It looks like most of the variables are for the client/customer and not for the end user.

I'm wondering where I can define my own variables or where I can find the list of variables. I'm new to Sugar so can someone point me in the right direction? Thanks
