    Arrow Group Mail Configuration

    Hi,

    I'm using SugarCRM 4.2.0, OS - WindowsXP, PHP 5, MySQL 4.1.13, Apache.

Do let me know what the GROUP USER in Create User link does. It had been said as

" Group User: Act as a group user. This user cannot login through the Sugar Suite web interface. This user is only used for assigning items to a group via Inbound Email functionality. "

I wanted to create different group mails where the individual mail has to access it & vice-versa. (Eg as the Customer Support Group when logs in has to see the entire mails that had been addressed to them)

Pls look into the file attached for the example in pictorial format.

I'm able to create individual mail where a login & password can be created thruough which i am able to login. On the other hand if i do check the checkbox of Group User when i create a user, as it says i'm not able to login.

Do enligten me where to configure for the group mail & what should be the login process for it.

    Thnx in Advance.

    Vaish

Think of Group Users as buckets. You put stuff in buckets until someone is ready to do something with the contents.

If you have 5 sales people and your company has an email addy like "sales@sugarcrm.com", you can create an InboundEmail mailbox for that address. In that setup, you also can create a Group User (named the same as the inbox) which is the "User" that is assigned all the imported emails. Then that 5-person sales team can use that User (the bucket) and take emails as they come in, or with heavier volume, as they queue up in that bucket.

The sales-team lead can use the Group Inbox Assignment bar to quickly assign all the items to his/her team in Round-Robin, Least-Busy, or Direct-Assignment distribution methods.

The Group user then waits for more emails to be imported and dropped in its bucket.

Complicated, but once you use it, it becomes clear how useful a Group user can be when leveraged correctly.

    Hi Chris,

Can u let me know whether i'm going in the right direction or not. Plz do look into the attached file for the process.

I have logged in as Admin & created a User (named as sales with email as sales@mycpy.com) & when i check in Inbound EmailSet Up:- i could see as

    in Email Handling Options part
    From "Name" : sales
    From "Address" : sales@mycpy.com
Assign To Group: sales in drop down list box

When i send across from an individual mail id to sales id (ie sales@mycpy.com) , the mail comes in MyInbox. When i select in Group Inbox of Assigned to as sales & seaarch i could see the mail information in the group inbox, but in shotcuts GroupInbox ( 0 New) is only shown. from here i can assign to any one based on the rules (like Direct, round-robin etc).

I wanted to get the count in shortcuts part as well. can u enlighten me in this issue.

Xpecting ur reply & Thnx in advance

The mistake you made was creating a New User "sales". InboundEmail will do that for you, creating a true Group User.

It's interesting that it allowed you to create a user with the same user_name as an existing User. I remember coding defensively for that situation; I'll have to file/fix this bug.

What you should do is disable the User you created in admin->users.

Then go back to the InboundEmail setup screen and select "Create Group User on Save" from the "Assign to Group:" drop-down. Save.

The emails will then properly list in the Group Inbox view.
