HELP: I need to email my 5000 contacts - but how do I do that in one go?

I am finding that I have to select 20 at a time and am not at all sure how to send all 5000 contacts the same email without having to go through a very tedious and long process?
Anyone out there with a quick answer?

Use the campaign module. With this you can create a template that inserts the persons name and other items. You could also divide into groups this way.

You probably don't want to send too many out at one time especially to a single organisation as some have blockers if too many emails come from one place. You also don't want to get on spam lists.

unfortunately this does not resolve it, I still can only add 20 names per time to the selection for the campaign, same as for the email. Is there no way on Sugar OpenSource to add your whole list instead of just 20 at a time???

Have you resolved this issue, if not their is a way to do it but alas not in the stand alone sugar application. You can however achieve this in two ways.

1. link the contacts to a target list by inserting directly into the prospectlist_prospects table in your database.

2. download the following add on which allows you to use the mass update function in your contacts leads and targets modules http://www.sugarforge.org/projects/powerprospect

This is what we did but a word of caution, although you can select all records of your search I would recommend only updating 5000 records when all end user are logged off

Thanks Joh, appreciate your help and advice. I had figured out it wouldn't do it in the standalone version, and my provider was not able to come up with this solution unfortunately so I have eliminated my account and done my mailing using another system. It is a pity it was so hard to do, since I do support OpenSource apps and wanted to work with Sugar.

It is a shame to see you leave the application, as I believe it is the best around price wise. I'm a veteran of five integrations and although from time to time you can question why you started, it normally works out for the best. Sugar can have its silly little issues and a mass select for target list is one of them, however the application improves all the time so fingers crossed they will crack it soon. If you decide to come back to SugarCRM and require assistance then please don't hesitate to get in touch.

I have found that with the power prospecting plugin that even through you can say search a list of 500 contacts for example and be displayed a short list of 125 contacts you want to add to your target list, you are limited to adding 20 records at a time. Unfortunately if you select the first 20 contacts, move the the second page and select the next 20 contacts and so on until you get to the end of your list. By the time you "update" your target list, only the last selection is added, the only way this works (at least for 5.1 CE) is that you select the first 20 the "update" to the target list, navigate to the next 20, select and "update" to the target list and keep repeating.

What we really need is target lists that can be based on queries. e.g. all leads that came from a certain campaign and are in Florida. It would be especially good if the lists were processed dynamically, at send time so that new leads that have been added since the list was set up and satisfied the search criteria would be included in the mailing.

This must be a joke. Do you actually mean that we are able to choose only 20 contacts per time?
I thought that I could use Sugar in my small business, but this makes it almost impossible...

Does anyone know the SugarCRM Bug Tracker ID for this issue? I know it's been around for a while and it would seem that there would *have* to be a logged request somewhere. I'd rather comment on the need to resolve an existing one than start a new one, if possible.
