Default Help for importing Contacts (without creating duplicates!)

    Hi everyone,

I#m trying to import our contacts from Outlook into sugar. To do this I follow strictly the instructions from the User Manual, i.e. importing firms/acounts first, and then the contacts.

However, after having successfully imported the accounts I experience the problem that importing the contacts produces double entries of the accounts which already have been imported, rather than associating the contacts to the appropriate accounts.

(Yes, the name of the accounts are spelled identically, within sugar accounts and the txt.file.;-)

And as I'm using the gerrman version I associate the contacts account name with the Sugar-Field "Firmenname".

    It just doesn't work!

    Can anyone help?

Currently Sugar desn't check for duplicate Accounts (this should work with 4.5), which you probably have importing records from Outlook. You have to take Outlook records, duplicate the file and in one file delete all the duplicate Account (fFirmennamen) records. then import this to Accounts.

    Hope this helps

Thanks for your reply, which unfortunately does not help.

Obviously duplicate accounts were deleted, before importing them. Duplicate entries then occurred when we imported the contacts, because they were not associated to the existing accounts but instead new accounts were created.

We assited a customer about two weeks ago to import data from Outlook successfully using 4.2.1. Originally the customer had not got rid of the duplicate account names and got duplicate account names.

There must be something wrong with the data or the mappings, but without being able to see the data, I can't offer any further assistance.

    Hello,

pls find attached two test files, which I experience the same problems with.

(First I mport the accounts. Then I import the contacts, which partially relate to the previouls imported accounts. However, the accounts are created again (without location information)

Also pls note that we currently still use Version 4.2.0d.

    Thanks and best regards,

    Hi,

I have imported the Account and Contact records successfully into our demo OS & Pro 4.2.1a system (using the tab delmited option). Don't know if anything changed here since 4.2.0d?

You can look at the results at http://84.244.0.177/os.

There does seem to be something wrong with importing contacts into existing accounts. A couple weeks ago, we had an issue with duplicate accounts being created as we imported new contacts for the existing accounts. The problem was resolved by ensuring that all columns in our conact.csv file had a descriptive header. Those without a header (in our case the Accounts column) were tossed out. Maybe that will help some of you.

I am now import the entire contact list instead of a small data set and getting odd results. Some existing accounts are being duplicated during the contact import process. Was is really strange is that there is no logic to the duplication.

If I take small data sets (100 or so contacts) it seems to work fine. With 200 or so I get a couple duplicate accounts (not always the same ones), with 500 or so I get 18-40 duplicate accounts and with 1000-5000 I am getting several hundread duplicate accounts.

There was a bug report about this way back in ver. 3.5.1d (Bug Number: 3297), but it was rejected - no mention of why.

I do not believe that it is my data as the accounts that are being duplicated are not always the same if I undo last import and try again. Any ideas?? (using 4.2.1b)

I've got the same "double account" problem here.

I am importing in a new database ( version 4.2.1b with MySQL ).
I cleaned-up my contact account name in excel for odds caractere & space. Created my account from my contact file. Got the double account manually deleted in my account file before the import procedure.

I imported my account, it went ok. I repaired the database & rebuild the relationship & restarted averything.
When i imported my contact i still got double entry in my account database.

I am importing 1300 accounts & 2000 contacts ( two big texte file tab separated).

I will try to add a header to my files and work with smaller files. I will keep you posted.

I got more infos from an other thread: Problem with importing records by johnol.

i changed theses parameters in my php.ini file an got good result:

    I set the php.ini values:
max_execution_time = 60 ; Maximum execution time of each script, in seconds
max_input_time = 60 ; Maximum amount of time each script may spend parsing request data
    memory_limit = 800M ; Maximum amount of memory a script may consume (8MB)

I now get 14 double account entry after my import procedure. I can manually manage the re-assignment.
I also got the Navicat tool to look into my Mysql database. It look like deleting records is simpler with this tool.

That seemed to resolve my problems. My script ran just over 100 seconds so I set the max_execution_time to 130 seconds and 700M vor my memory. (FYI, 500M still gave me some errors).

    THANKS for the imput.
