    Hi,
maybe the problem is not hat you think it is :
are you trying to send a mass email ? If so you should better use email campaings.

But if you do want to send a basic email to all your contacts, the right moves are :
    - go to contact listview
    - on top of your list, click 'select' and then 'all records'
    - depending on your version, then click on the 'compose' button or on 'action' -> 'compose email'

    Hope this can help.

    Hi,

Gauts is right, to send emails to that many contacts you should really be using the campaign tools.

Gauts is not quite right in saying to use the "Select All Records" in the list view though. As you are using the Sugar Email Client to send the emails there is a limit of 10 records that you can select into a To: field here. This is for performance reasons. If you try to send a manual email using the Sugar client to 30,000 email addresses you will find that the HTTP process times out well before they all go. In fact I doubt that you would physically be able to send to more than 20-30 contacts using this method within the time period allowed for the script to execute on most web servers. Bear in mind you are trying to email using a web client written in PHP, it has severe limitations when compared to a full email client like Outlook or Thunderbird etc.

Your best option is to set up a Target List, copy all your Contacts into there and use that to execute an email campaign to. Here too though, there are limits to the processing and you will need to set up the job scheduler (using cron or windows scheduler depending on your server type) to run it. Using the manual button to process the queue will result in only sending a few (around 20 or so) at a time before the web process times out, IME.

If you do not have access to the set up of cron or windows scheduler (such as on a hosted server) then you have little choice but to export the list of contacts to a CSV file and send an email to them using your favourite email client. Or sit at the SugarCRM interface for a few days sending them 10 or 20 at a time.

    Regards,

    JH.

I think you mean that you are not receiving emails using the Test button in the email settings section. If so then you need to make sure your email settings are all correct. The settings differ depending on what SMTP server you are using - the best advice I can give here is to carefully follow the instructions in the Sugar documentation and make sure you have all the relevant information for your particular SMTP server entered correctly. Your server administrator (or ISP) should be able to help you there. If you are still stuck then there are very many posts on these forums that should help you get the emailer working.

As for timing of email batches, that is entirely up to you. You need to set up the cron or scheduler job (depending on the operating system of your Sugar server) and then make sure that the Scheduled Job in SugarCRM for processing batch emails is set to Active. You can adjust the settings to suit your preferences as to whether the queue is processed at a particular time. This is fully detailed in the Sugar documentation too.

    Thanks,

    JH.
