Default Problem setting up email with IMAP and GMAIL

    Hello all,

First of all, excuse for the english, I'm Brazillian,

    I have a few questions...
We actually use Google apps (like gmail, but work in our own domain) to manage our emails, and start to use SugarCRM 5.0 as the CRM software. Today, I try to solve a few problem for hours, with no success. Here is the questions:

1 - We use IMAP to connect to email. It's ok. We can download email, read, reply, etc. But, when the email is deleted, is NOT REMOVED from the server. And if we right click and select "synchronize", ALL THE MESSAGES ARE DOWNLOADED AGAIN (including the deleted message...). I can't find any option to remove deleted messages from server.... If I click "Check email", sugar dont download the deleted message.... but dont delete the message from the server too.

2 - The Drag & Drop function don't work between the folders in email....

3 - With IMAP, can SugarCRM synchronize the SENT ITENS of gmail? I believe this is intersting because with this sync, is possible to make a reverse lookup and relate the emails to the contacts (I don't know if a explain this well.... my english is not good....).

4 - Anybody knows about any working integration with Zimbra???

    EDIT:

5 - If I import the messages to sugarCRM and select the option (delete message from server), sugar copy the message to My Email Folder, but not delete the message from server.....

    Thanks for the help people!

    Hi,

Since I do have a more or less similar set-up I can at least tell you that points 1 and 5 don't seem to be Sugar related. I do use Thunderbird to connect to my IMAP Google accounts and there it is the same issue - deleting is only possible if you work directly with Google and even then (with the exception of the trash and spam folder) it is not always sure that things get deleted, they may end up in your "ALL MAIL" folder.

I am not sure whether this is Google's IMAP implementation or their "special" way of handling emails.

For the rest I am about to test it with 5.0a right now - please send a PM if you want to get the results. I have little time to watch the Sugar forums during the week.

Ok, I took some time and did some initial testing with 5.0a. There's good and bad (set-up is twice Google Mail and IMAP)

Good: It seems as if the problem of copying all mails over and over again is more or less gone. Once the headers are there and the account doesn't get lost (see "Bad") Sugar is just checking for new mails.

    Bad: Unfortunately there is more:

    1. Some mails simply don't show. I suspect that those arrived to my account when the initial download was in progress. It's likely because this download took 45 minutes or so. These mails show in Google as well as in Thunderbird but not in Sugar.

    2. Attachments still don't show. They can be found encoded in the mail body but not as attachment. I tried it with a txt and a jpg file. Interesting: The jpg (or so I believe) showed inline as broken picture - a subsequent click gave a message that the file couldn't be retrieved from the upload folder (I suppose from within the Sugar directory). A txt attachment didn't even give an indication that there was something (both test messages were sent from a Yahoo webmail account)

    3. Mails deleted in Thunderbird disappear from the respective folder and show in All Mail as read. In Sugar they still show as unread in the original folder although a "check mail" was done repeatedly.

    4. I opened one mail account under settings in Sugar. Apart from the fact that the port switched from 993 to 143 although nothing was touched the OTHER, completely independent, mail account disappeared from my folder list. After I called it up again under settings (there it still was) - yes you guessed right - Sugar started to upload all 20.000 mail headers again.

Conclusion: With regard to email 5.0a is still not usable for production purposes. I suppose we will get there eventually but there's still a lot to do.

    Robert,

First of all, thanks for the help,

Actually, i´m using Outlook with gmail and IMAP connection, and all is working fine. If I delete the message in outlook, the message is removed from my Inbox in Gmail. If I drag the message to a folder, Gmail uses the name of the folder to create a label to this message (and remove that message from Inbox too, so you have to click in the label to show the message in gmail interface). I think this is great, in matter of integration with outlook.

But in sugar, this is terrible. I see the problem of "changing ports from 993 to 143 too"... and messages are not removed from server... Drag and Drop don´t work (so you can´t move the messages to a folder, for gmail to labeled it...)

My objective with the use of the email system in sugar is to track ALL the messages sended to contacts, even if the messages ares sended from gmail or from outlook... That integration works, for example, in Outlook Business contact Manager, because the system track the messages in the Sent folder of Gmail.....

Well.... the only option is to not use this, and wait for a good email system someday (or a good integration with a third part software).

    thanks!

    Hi,

Yeah, I am not a big Outlook user to be quite honest but what Thunderbird does is more or less the same. I can do all operations that I want to do and I again checked the deletion - it does disappear in Thunderbird and is moved to the ALL Mail folder what is I believe the desired result. However, I absolutely agree with you that Sugar isn't there yet.

In the meantime I at least found out why my jpeg attachment doesn't show although it's there (I checked the folder cache/images and there is my apple in all its glory. The problem is the path as you can see here:
"The requested URL /cache//images/643988.73178.qm@web55115.mail.re40.jpeg was not found on this server." The double slash is the cause. And: I also found my text attachments - it's under cache/upload (God knows why they didn't create one folder called mail attachments...). But as mentioned before - the mail doesn't indicate that there is an attachment.

Need to go back to work, otherwise my boss becomes very angry...
